Frequently Asked Questions Viewing Your Child’s Photos How long will it be before I can view my child’s photos? After the final scheduled photo day at your child’s centre, it usually takes around 7 to 10 business days for galleries to be prepared and released online. Once your gallery is ready, we will send your access link and code directly to you by SMS and/or email, provided you have registered. How do I view my child’s photos? When your child’s gallery is ready, you will receive a direct link and access code by SMS and email. If you have not received your gallery details, please check your junk or spam folder first. If you still cannot find them, please contact us at orders@playgroupphotos.com.au and we will be happy to help. Do I need to register before photo week? Yes. Registering before photo week helps us collect your child’s details, your consent, and your preferred photo day. It also ensures we can send your gallery link directly to you once your child’s photos are ready to view. What happens if I miss the registration deadline? If you miss the cut-off, you may still be able to submit a late registration request while photo week is still in progress, provided your child’s usual attendance day has not already passed, or you are able to bring your child to the centre on the scheduled photo day. Once photo week has finished at your centre, we are generally unable to add further children to the schedule. Ordering & Pricing How long do the discounted prices last? Once your gallery goes live, you will have 14 days to place your order at the special limited discount prices. During this time, eligible orders are processed together as part of our main print run, which helps us keep pricing lower for families. What happens if I do not order during the 14-day limited discount period? You can usually still place an order after the initial 14-day period, however the discounted package pricing may no longer apply. Later orders may also require postage to your home address rather than free delivery back to the centre. Can I still order later in the year? In many cases, yes. Galleries often remain available for some time after the initial sale period. However, we do recommend ordering as early as possible, as we cannot guarantee gallery storage for a fixed period. Can I ask for a further discount on my order? Our pricing is carefully structured to offer families good value without charging a general sitting fee upfront. We do occasionally run selected promotions or specials throughout the year, however these are offered at specific times and cannot be applied retrospectively, combined with all products, or held over as a rain check. At all other times, pricing remains as displayed in the webstore. Delivery When will my photos be delivered? If you place your order during the initial 14-day limited discount period, your prints will usually be included in our bulk print run and returned to the childcare centre for collection once complete. If you place an order after the early ordering period, your order may be posted to your nominated postal address instead. Please allow up to 28 business days for posted orders after payment has been received and processed. Do I have to pay postage? Orders placed during the first 14 days of gallery release are generally eligible for free delivery back to the centre as part of the bulk order period. Orders placed later may attract a postage charge for delivery to your home. Photo Week & Attendance What happens if my child misses photo week because they were sick or away? Unfortunately, because our photo weeks are carefully scheduled and centres are often fully booked, we are usually unable to return for catch-up sessions if your child is absent on their scheduled day. Can my older or younger child come in for sibling photos? Yes — we are very happy to photograph siblings together. If you would like to bring in a sibling who is not already attending the centre that day, we do ask that you arrange this directly with us in advance so we can allow time in the schedule. What if my child is upset or does not want to be photographed? Children are never forced to participate. If a child is distressed or not comfortable on the day, our photographer may pause, give them a little time, or try again later if possible. We always work respectfully and gently with each child, in consultation with centre staff where needed. Digital Downloads & Files What is included in the full digital download? Our full digital download includes all portrait images shown in your child’s gallery, including any sibling images that appear within that gallery. Class or group photos are not included as digital files for privacy reasons. How does the digital add-on work? Our webstore allows families to add all portrait digital files at a special reduced price once their cart reaches the qualifying package threshold. This means you can first choose the print package or products you love, then add the full set of portrait digitals at the discounted add-on rate if your order qualifies. Can I purchase individual digital images? Yes, in many cases individual digital files are available for purchase separately through the webstore, depending on the products currently enabled for your gallery. Are my images watermarked when I download them? No. Watermarks are only shown on preview images within the webstore. Once you have purchased your digital files, your downloaded images will be supplied without watermarks. Why can’t I purchase the class photo as a digital file? For privacy and child protection reasons, we do not offer digital copies of class or group photographs for download. These images may be available as printed products only, where applicable. Payment What payment methods do you accept? We currently accept secure online payment by PayPal, Visa and MasterCard. Privacy, Security & Support How is my child’s gallery kept secure? Your gallery is accessed using a direct link and code sent to the contact details provided during registration. We take privacy seriously and limit access to authorised family members and genuine carers with a legitimate connection to the child. How is my personal information handled? Playgroup Photos handles personal information in accordance with Australian privacy requirements. Information collected for photo week and gallery access is used only for the purposes of registration, photography administration, gallery delivery and customer service. What if there is a problem with my order? If something does not seem right with your order, please contact us as soon as possible and we will do our best to assist.
